A well-kept spreadsheet can hold a service schedule. The difficulty starts when the people doing the work are away from it. The hour reading lives on a phone, the problem is mentioned in passing, and the person updating the sheet was not there.

TinyFleet gives operators a way to record use, checks and issues against equipment while owners review the combined history. It is intended for small crews with mixed responsibilities, not a dedicated enterprise fleet administration team.

Use the right view for the job

Operators need to know which equipment they can use, its status and what to record. Maintenance staff need the work, parts and history. The owner needs to see where everything stands.

TinyFleet has operating, maintenance and managing views, with roles and assignments controlling access. These views do not give every employee access to private costs, administration or all equipment. Start with the access each person needs, then check the workflow with that person.

Decide whether maintenance is your real buying need

If the problem is missed service, uncertain inspections or disconnected equipment history, a maintenance-first tool is a useful fit. Ask whether you can find the last completed service, see an unresolved issue and identify who entered the latest reading.

If your main need is route optimization, dispatch, an ELD or continuous telematics, do not buy TinyFleet on that assumption. Work-session location records, when permission and a location fix allow them, are different from a live tracking feed.

Move the useful information first

Start with asset identity, current meters, upcoming work and important existing service records. Keep historical paper records available while you build a reliable routine. Do not make a complete data cleanup the price of getting started.

A small weekly review helps the owner spot missing entries and unresolved issues. The software organizes what the crew records; a clear operating routine makes those records useful. The goal is one equipment history regardless of who ran the machine.
