Terms of Service

These Terms of Service ("Terms") are an agreement between you and TINYFLEETPM LLC, the operator of TinyFleet PM ("TinyFleet," "we," "us," or "our"). They govern your use of tinyfleetpm.com, the TinyFleet PM mobile application, and related services (the "Service").

By creating an account, using the Service, or purchasing a subscription, you agree to these Terms. If you use the Service for a business or other organization, you represent that you have authority to accept these Terms for that organization.

1. Eligibility and accounts

You must be at least 18 years old and legally able to enter a contract. Provide accurate account information, protect your login credentials, and promptly notify us of suspected unauthorized access. You are responsible for activity performed through your account unless applicable law provides otherwise.

TinyFleet organizes shared data by fleet or organization. Owners and administrators may invite or remove team members and assign permissions. Team members can access shared data only as their permissions allow. Removing a team member ends that member's access but does not erase shared maintenance or ownership history.

2. The Service

TinyFleet helps users manage equipment and fleet records, including assets, maintenance tasks and history, parts, costs, attachments, reports, alerts, and optional public Maintenance Passport pages. Features may change as the Service improves. We will provide reasonable notice when practical before a material change that substantially reduces a paid feature.

TinyFleet is not a safety-critical system. Do not use it as the only record or control for work where an error, delay, or outage could cause injury, death, or major property damage. You remain responsible for equipment inspections, maintenance decisions, regulatory compliance, and independent backups where appropriate.

3. Pricing, trial, and recurring billing

The current Business subscription is:

"Unlimited" applies to ordinary human use of team seats and equipment records. It does not include unlimited file storage, automated traffic, AI processing, messages, or third-party services. We may apply reasonable safeguards against abuse or activity that threatens the Service.

Eligible new accounts receive a 30-day trial without providing a payment method. A trial does not automatically become paid unless you choose a plan and provide a payment method. If you do not do so, the trial ends without a charge.

Paid subscriptions renew automatically for the monthly or annual term you select until canceled. Before you confirm checkout, Stripe displays the price, billing interval, taxes if applicable, and other material payment terms. Stripe processes payments; TinyFleet does not store your full payment-card number.

We may change prices for future billing periods. We will give reasonable advance notice before a price change applies to an existing subscription. Taxes may be collected where required.

4. Cancellation and refunds

An account owner can cancel a subscription through Settings -> Manage Billing -> Open Billing Portal, which opens the Stripe Customer Portal. Cancellation normally takes effect at the end of the current paid term, and Stripe shows the effective date before confirmation. Details are in the Cancellation Policy.

Refund eligibility is described in the Refund Policy. Nothing in these policies limits rights that cannot legally be waived.

5. Your content

You retain ownership of information and files you submit to the Service. You grant TinyFleet and its service providers a limited license to host, copy, process, transmit, and display that content only as needed to provide, secure, support, and improve the Service, comply with law, and carry out your requests.

You represent that you have the rights and permissions needed for content you upload or share. You are responsible for reviewing AI-generated suggestions and extracted information before relying on or saving them as authoritative records. More information about optional AI features is in the Privacy Policy.

6. Public Maintenance Passport pages

A Maintenance Passport is public only when an authorized user intentionally enables sharing. Anyone with its public link can view the limited fields shown on that page. Do not publish confidential or personal information. Rotating the Passport token invalidates the old link. Private files, precise location, team details, internal identifiers, and other non-public data are not intended to appear on the public page.

7. Acceptable use

You may not:

• use the Service for unlawful, fraudulent, abusive, or infringing activity;
• upload malware or try to bypass security, access controls, or rate limits;
• access another user's or organization's data without authorization;
• interfere with the Service or use automated traffic that degrades it;
• reverse engineer the Service except where applicable law permits it; or
• resell, sublicense, or represent the Service as your own without written permission.

We may limit or suspend access when reasonably necessary to protect users, the Service, or third parties, or to investigate a suspected violation. When practical, we will give notice and an opportunity to correct the issue.

8. Data access, retention, and deletion

TinyFleet provides reports and exports for supported workflows. If you need a broader copy of personal data, contact us. We do not promise that every record, file, or audit entry is available through a single self-service export.

Subscription cancellation and account deletion are different. Canceling stops future renewals but does not automatically erase shared fleet history. Account deletion requests are handled under our Account and Data Deletion Policy. TinyFleet may retain, restrict, de-identify, or preserve durable maintenance, ownership, billing, security, and audit records when needed to protect other users, maintain record integrity, prevent fraud, resolve disputes, or comply with law.

9. Third-party services

The Service relies on providers such as Supabase for authentication, database, and file storage; Vercel for web hosting; Stripe for billing; OpenAI for user-invoked AI features; and Google for Android application distribution. User-selected links may also send information to external suppliers or sites. Those providers process information under their own terms and privacy notices. Third-party outages or changes may affect the Service.

10. Intellectual property and feedback

TinyFleet and its licensors own the Service, software, branding, and related intellectual property, excluding your content. These Terms give you a limited, non-exclusive, non-transferable right to use the Service during your account or subscription term.

If you provide feedback, you allow us to use it without restriction or payment, but we will not identify you publicly without permission.

11. Disclaimers

To the fullest extent permitted by law, the Service is provided "as is" and "as available," without warranties of merchantability, fitness for a particular purpose, non-infringement, uninterrupted operation, or error-free results. Some jurisdictions do not allow certain warranty exclusions, so some exclusions may not apply to you.

12. Limitation of liability

To the fullest extent permitted by law, TinyFleet is not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, goodwill, or data arising from the Service. TinyFleet's total liability for claims relating to the Service during any 12-month period will not exceed the greater of $100 or the amount you paid TinyFleet during that period.

These limits do not apply where prohibited by law or to liability that cannot legally be limited.

13. Indemnity

To the extent permitted by law, you agree to defend and indemnify TINYFLEETPM LLC from third-party claims arising from your unlawful use of the Service, your content, or your material violation of these Terms. This obligation does not apply to claims caused by TinyFleet's own misconduct.

14. Suspension, termination, and discontinuation

You may stop using the Service at any time. We may suspend or terminate access for material breach, fraud, unlawful activity, security risk, or nonpayment, subject to applicable law. If we discontinue the Service, we will provide reasonable advance notice and a reasonable opportunity to retrieve supported exports when practical.

Provisions concerning ownership, retained records, disclaimers, liability, indemnity, and disputes survive termination when their nature requires it.

15. Changes to these Terms

We may update these Terms as the Service or law changes. We will post the revised Terms with a new effective date and provide additional notice for material changes when required. Changes apply prospectively. Your continued use after the effective date means you accept the updated Terms.

16. Governing law and disputes

Washington law governs these Terms, without regard to conflict-of-law rules. Subject to any rights you have under applicable consumer law, disputes relating to these Terms or the Service will be brought in the state or federal courts serving Lewis County, Washington.

17. General terms

These Terms, together with the Privacy Policy, Refund Policy, Cancellation Policy, and any checkout terms shown to you, form the agreement for the Service. If a provision is unenforceable, the remaining provisions remain effective. A failure to enforce a provision is not a waiver. You may not assign these Terms without our consent; we may assign them as part of a merger, acquisition, reorganization, or sale of the Service.
